
These are essentials and practical steps that your business should follow when deploying Office 365:
- Plan the size of your implementation. How many users/accounts does your business need?
- Actual Mailboxes – # of required licenses (Office 365 allows you to combine different types of licenses, for example: Office 365 Business Essentials, Office 365 Business Premium, Etc.)
- Aliases
- Groups
- Forwarders
- Shared mailboxes
- Decide the number and type of Office 365 licenses that your business needs
- Decide what domain name your business will use. If you have several domain names, Office 365 allows you to verify and use all of them. If you don’t have a domain name, then decide about a domain name and register it.
- Make sure you have access to manage your domain and edit/add DNS records
- Decide what email client and devices your users will use (for Example: Computers, Phones, tablets / MS Outlook, Mac Mail, Android Email client, others)
- Sign up for the number of licenses. In some cases, you can sign up for a free trial.
- Verify your domain name with Microsoft. This process will require you to edit your domain’s DNS records and/or add an HTML file to your website.
- Create users and assign licenses within Office admin center. Setup mailboxes, aliases, etc.
- Migrate email data to Office 365. You may also want to migrate other type of files or documents to OneDrive and/or Sharepoint.
- Activate Office 365 mailboxes – Exchange Online. This process will need you to edit additional domain’s DNS records
- If the deployment includes MS Office 365 Business Premium, users will be able download and install the Office Suite on their devices.
- Train your users and take full advantage of Email/contacts/calendar syncs in all their devices, Office Suite, OneDrive, Sharepoint, MS Teams, Etc.
As part of your Office 365 deployment, you will also need to consider important aspects about the security, like for example: passwords policy, Multifactor authentication, self-password recovery, etc.
Final note: other Microsoft licenses and tools like MS Teams, MS Project, Visio, Audio Conferencing, etc. can also be added to your Office 365 implementation/subscription.
